B2B e-invoicing in Germany (ZUGFeRD & XRechnung)

From 2025, many German B2B invoices must be structured electronic invoices (ZUGFeRD or XRechnung). A Word or PDF file alone is often not enough when structured e-invoicing is required. Use dedicated e-invoicing software for those cases. After you issue or receive invoices, KontoMatch helps with OCR and bank matching for bookkeeping.

This preview is a sample guide for layout only, not a finished invoice. Download the Word file, replace every placeholder with your own details, set the correct tax treatment and totals yourself, then export a PDF before you send it.

Legal & Compliance Guidelines

Common invoice requirements by country

Tax authorities generally require a clear set of invoice details so the recipient can reclaim input tax where applicable (e.g. Vorsteuerabzug in DE/AT, or VAT recovery elsewhere). Thresholds and rules differ by country.

Make sure your invoices contain: full names and addresses of both parties, the correct tax ID for your country (e.g. USt-IdNr, UID-Nr, MWST-Nr, btw-id, VAT Reg. No, or EIN), a unique sequential invoice number, date of issue, supply date, itemized goods or services, net total, tax rate where charged (e.g. 19% DE, 20% AT, 8.1% CH, 21% NL, 20% UK), tax amount, and gross total. In the US there is no federal VAT; add state sales tax only when you must collect.

After you send the invoice

Germany's B2B e-invoicing rules from 2025 often require structured formats (ZUGFeRD/XRechnung). Use dedicated e-invoicing software when the law demands it. Once invoices and bank statements exist, KontoMatch helps with OCR and bank matching for bookkeeping.
