B2B e-invoicing in Germany (ZUGFeRD & XRechnung)

From 2025, many German B2B invoices must be structured electronic invoices (ZUGFeRD or XRechnung). A Word or PDF file alone is often not enough when structured e-invoicing is required. Use dedicated e-invoicing software for those cases. After you issue or receive invoices, KontoMatch helps with OCR and bank matching for bookkeeping.

This preview is a sample guide for layout only, not a finished invoice. Download the Word file, replace every placeholder with your own details, set the correct tax treatment and totals yourself, then export a PDF before you send it.

Legal & Compliance Guidelines

New 2025/2026 Small Business Limits

Germany (§ 19 UStG): Since the 2025 tax reform, the prior-year turnover limit is €25,000 (previously €22,000) and the current-year limit is €100,000 (previously €50,000). If you exceed €100,000, you must immediately transition to standard taxation (Regelbesteuerung).

Austria (§ 6 Abs. 1 Z 27 UStG): The threshold is €55,000 gross. A 10% one-time tolerance threshold applies up to €60,500.

Switzerland (Art. 10 Abs. 2 MWSTG): The registration threshold is CHF 100,000 global turnover. Under this, you are exempt from Swiss VAT.

Netherlands (KOR): The Kleineondernemersregeling generally applies up to €20,000 turnover; do not show btw lines when using KOR.

United Kingdom: If you are not VAT-registered (below the £90,000 threshold), do not show VAT lines or a VAT registration number.

United States: There is no federal VAT; only add state sales tax when you have a collection obligation.

Mandatory Legal Disclaimers

If you invoice without VAT, you must not show any VAT percentage or VAT amount. Where required, include the correct local notice, for example:

Germany: "Gemäß § 19 UStG wird keine Umsatzsteuer berechnet."

Austria: "Umsatzsteuerfrei aufgrund der Kleinunternehmerregelung gemäß § 6 Abs. 1 Z 27 UStG."

Switzerland: "Von der Mehrwertsteuer befreit gemäss Art. 10 Abs. 2 MWSTG."

Netherlands / UK / US: Follow Belastingdienst, HMRC, or state DOR wording for your exemption or non-registration status.

Avoid Costly Tax Audits

Accidentally showing VAT on a small-business invoice can mean you still owe that tax to the tax office (§ 14c UStG). Fill this Word template carefully, omit VAT when the law requires it, and use KontoMatch afterward to OCR receipts and match bank payments.
