B2B e-invoicing in Germany (ZUGFeRD & XRechnung)
From 2025, many German B2B invoices must be structured electronic invoices (ZUGFeRD or XRechnung). A Word or PDF file alone is often not enough when structured e-invoicing is required. Use dedicated e-invoicing software for those cases. After you issue or receive invoices, KontoMatch helps with OCR and bank matching for bookkeeping.
This preview is a sample guide for layout only, not a finished invoice. Download the Word file, replace every placeholder with your own details, set the correct tax treatment and totals yourself, then export a PDF before you send it.
Download the Word (.docx) invoice template below. Replace the placeholders with your business details, line items, and Value Added Tax (VAT) rates, then save or export a PDF for your client.
Example: a Berlin freelancer fills sender and recipient fields, adds one consulting line at €1,000 net plus 19% VAT, and sends a PDF. Helper content only, not tax or legal advice. For business-to-business (B2B) e-invoicing duties from 2025/2026, structured formats like ZUGFeRD/XRechnung may be required instead of a static Word file.
German invoice templates: FAQ
+
Which fields must a German invoice include?
↓
Typical required details (Pflichtangaben) include full names and addresses of supplier and customer, tax number or VAT identification number (USt-IdNr.), unique invoice number, supply date, quantity and description of goods or services, net amounts, Value Added Tax (VAT) rate and amount (unless exempt), and the gross total. Confirm edge cases with a Steuerberater.
Why is only a Word download offered?
↓
Word (.docx) is the most common editable format for filling invoices offline. Export to PDF before sending. For automated bookkeeping and bank matching, use KontoMatch instead of maintaining spreadsheets.
How should Kleinunternehmer use this template?
↓
Use this template and delete or zero the VAT lines if you invoice under the Kleinunternehmerregelung (§ 19 UStG). Check the German Kleinunternehmer limit (€25,000 prior year / €100,000 current year) before deciding.
Are Word templates enough for German B2B e-invoicing?
↓
Often no for business-to-business (B2B) from 2025 onward: structured electronic invoices (ZUGFeRD/XRechnung) may be mandatory. These downloads remain helpful for drafts, business-to-consumer (B2C), or learning layouts; use compliant software when the law requires structured formats.
